The Mexico City office will be an extension of the U.S. headquarters, with a special focus on grant writing and operational support.
We are seeking a bilingual (English and Spanish) Office Manager to oversee the daily operations of our Mexico City office. The ideal candidate will have strong leadership skills, exceptional organizational abilities, and a proven track record in office management. This role is critical to ensuring smooth operations, effective communication, and efficient management of a team of grant and contract proposal writers. The Office Manager will be responsible for supervising staff, managing office systems and maintenance, and ensuring compliance with home office requirements in Texas.
Duties
Supervise and support a team of grant and contract proposal writers, ensuring high performance and morale.
Monitor staff attendance, maintain payroll records, and ensure compliance with workplace policies.
Oversee daily schedules, appointments, and deadlines to maximize productivity.
Coordinate maintenance and utilities for the office, liaising with local service providers and keeping the home office informed.
Manage office technology, including computer systems and networks, with the ability to identify and engage the appropriate maintenance personnel when needed.
Maintain organized filing systems for important documents and records related to office operations.
Ensure the office runs smoothly by managing supplies, equipment, and general office upkeep.
Draft, edit, and manage correspondence and business documents as required.
Foster a professional and positive work environment that promotes collaboration and efficiency.
Requirements
Fluency in both English and Spanish is required.
Proven experience in office management or a similar role, preferably in a fast-paced environment.
Strong supervisory skills with the ability to effectively lead and manage a diverse team.
Knowledge of office systems, basic technology troubleshooting, and vendor coordination is a plus.
Exceptional organizational skills and attention to detail, especially in maintaining records and meeting deadlines.
Strong communication skills, both verbal and written, in English and Spanish.
Proficient in using office tools, scheduling software, and file management systems.
Ability to foster a positive work environment and promote teamwork.
A PHD, Master's, or one postgraduate degree in a related field is required.
At least 6 years of experience is required, with work at a top 100 firm in Mexico is preferred.
