Yokogawa is seeking to hire a Project Coordinator.
SUMMARY
Under general direction of members of the management staff, the Project Coordinator provides support to the Service Department in multiple areas including purchasing, sales & marketing, financial, training administration, project administration and office administration.
DUTIES/RESULTS
Project Coordinator - Financial Support
• Client/Customer Invoicing: Material, Time, Expenses, Lump Sum, and Freight.
• Taxable Material
• Base Booking and Change Order review and assistance.
• Complete Monthly Cost Transfers for internal reconciliations.
• Process Monthly Premium Pay/Offshore/Uplift requests and authorizations.
• Review and Update Financial Department on WIP.
• Review Customer Purchase Orders for VOWD.
• Assists in the review of bid specifications for bonding and insurance requirements. Coordinate with Corporate Risk Management to obtain necessary documents.
• Upload Customer Invoices into Customer System (example: Ariba).
Project Coordinator - Administrative Support
• Provide support for Project Managers and Project Engineers as required.
• Assist in preparing and updating Cost to Completion for projects.
• Create and Maintain Project Spend Plans.
• Create IT Help Desk tickets to open new project folders on Server.
• Project filing on Server/Hard
• Create/Maintain SVOs in SAP for mini projects.
• Maintain Client contact information for account
• Organize Monthly Service Meeting for Project Reviews.
• Maintain logs on change orders, invoices and progress
• Create and tracking of labor purchase orders and change orders.
• Organization of lunches/refreshments for client meetings and Factory Acceptance Tests.
• Confirmation of material: drop ship, tracking and ship
• Closing project confirmation and documentation (P-7 Checklist, Customer Satisfaction Survey, Project back-up).
• Track/log all project quality
• Assist Engineers with completion of PML / Exa Maintenance requests to TAC Department.
• Assistance with any audits for ISO 9000
• Assist with the preparation of build
• Assist Proposal Department with quotes and layout of PA1.
• Create Warranty Letters upon shipment of Yokogawa HW/SW.
• Create and maintain internal check off sheets.
• Assist Human Resources for offshore Engineer documentation/requirements/Invitation Letters.
• Webex Service Project Reviews.
• Book hotel and travel reservations.
• Request/Add At-A-Boy documentation to Yokogawa My Net.
• Assist with processing timesheets, expense reports, engineering service reports, work orders, and other administrative tasks as required by department. Project Coordinator - Training Administrative Support • Order Yokogawa paraphernalia for Customers.
• Track/log/invoice/recap on-site Training D
• Provide QA with Monthly Average Report for Training Department.
• Maintain Training Department Email.
• Email Yokogawa Sales personnel list of Customer in-house training.
• Interaction with Learning Stream website - host training database.
• XOrders for shipping training equipment.
DIMENSION
• Strong organizational and planning skills, and able to multitask and set priorities for self and others based on YCA business needs.
• Must be able to learn local computer programs for ordering and tracking materials and generating financial reports.
• Familiar with relevant YCA procedures and committed to providing uncompromising quality.
• Must collaborate with all YCA staff/departments.
Requirements:
Education: Minimum of Associates Degree in business or technical field or related experience. Prior Experience: A minimum of two years experience in either an administrative or engineering support role within a technical department. Must be proficient in the operation of Microsoft Office Software including Word, Excel, Power Point, Project, etc.
