The Executive Assistant to the CEO will provide high-level administrative support to the CEO, ensuring efficient and effective operation of the executive office. This individual will act as a gatekeeper, manage the CEO's calendar, organize meetings, handle communications, and perform various executive duties to help the CEO stay focused on strategic goals and business priorities.
Calendar and Schedule Management:
Manage and optimize the CEO's calendar by scheduling appointments, meetings, and travel.
Prioritize and handle conflicts in scheduling, ensuring the CEO's time is allocated effectively.
Communication:
Serve as the main point of contact between the CEO and internal/external stakeholders.
Screen, direct, and respond to emails and phone calls, ensuring timely follow-ups.
Draft, proofread, and edit correspondence, reports, and presentations.
Meeting and Event Coordination:
Coordinate internal and external meetings, including agenda preparation, document collection, and follow-up.
Organize and manage high-level meetings, executive retreats, and special events for the CEO.
Travel Arrangements:
Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries.
Ensure all logistics are planned well in advance and adjusted as needed for smooth travel experiences.
Project Management:
Assist the CEO in managing special projects, deadlines, and initiatives.
Track progress on key projects, ensuring timely completion and reporting on status.
Confidentiality & Discretion:
Handle sensitive information with the utmost confidentiality and professionalism.
Ensure that confidential documents and information are securely stored and appropriately shared.
Administrative Support:
Provide general administrative support, such as filing, organizing documents, and maintaining office supplies.
Prepare presentations and reports as required by the CEO for executive meetings or key stakeholder discussions.
