We're looking for a proactive and resourceful Bilingual Virtual Assistant to support our daily operations and executive team. The ideal candidate is fluent in English and Spanish, highly organized, and experienced in handling administrative and executive support tasks in a remote setting.
Key Responsibilities
- Organize and prepare for meetings, including scheduling, agendas, and follow-ups.
- Manage email communication, responding and prioritizing messages efficiently.
- Answer and respond to phone calls, ensuring professional and timely communication.
- Schedule and manage calendar appointments, keeping track of key events and deadlines.
- Coordinate and manage vendors, ensuring timely delivery of services and resolving any issues.
- Prepare and maintain Excel spreadsheets for data tracking and reporting.
- Transcribe remote/Zoom meeting notes accurately and distribute them as needed.

- Bilingual proficiency in Spanish and English
- At least 2 years of experience in a similar administrative or executive assistant role
- Strong organizational and time management skills
- Proficient in Microsoft Office (Excel, Word, Outlook) and Google Workspace
- Ability to handle multiple tasks, prioritize effectively, and work independently.
- Excellent written and verbal communication skills
- Familiarity with remote work tools such as Zoom, Slack, Trello, or similar platforms.
- Previous experience working remotely across time zones
