Example of Duties

Updating & Maintaining Quickbooks Online & Desktop Bank Feeds
Data entry - Entering vendor bills, and information
Monthly Billing; preparing monthly billing invoices
File Organization; maintaining organized file names, and documents
Vendor Organization; maintain records of tax and insurance documents. Communicate with vendors missing information and help facilitate completion of documents
AIA Billing Budgets and Spreadsheets; monthly preparation of billing spreadsheets across clients ensuring accuracy of numbers and formulas for the next month
Employee Time Tracking; ensure correct tracking of time to jobs, communicate with employees to clarify incorrect time or discrepancies
Maintain client email inboxes, respond or escalate inquires as needed, file away emails so inbox is clean and organized
Work on master project lists for clients to help improve efficiency and organization across their business

Desired Skills

Bilingual; Spanish is necessary to perform this work. English - conversational.
Time management; there is always a list of tasks, however they need to be organized and prioritized
Ability to work with several different clients. Each client is different and has a slightly different way of running their small business. My goal is to set standards in place, while honoring the systems and preferences each client has. Flexibility is key
Ability to problem solve; every system has room for improvement. I am open to new ideas to improve efficiency

Communication Skills - Clear and concise communication is necessary to interact with clients, colleagues, and other departments, especially when discussing financial information or resolving discrepancies.
Problem-Solving Skills - Ability to analyze financial discrepancies and find solutions is important for maintaining accurate records and addressing issues that may arise.
Adaptability and Flexibility - In a consulting environment, priorities may shift quickly. Being adaptable helps in handling changes efficiently.
Teamwork and Collaboration - Ability to work well with others and collaborate with different teams and departments to ensure all financial aspects align with business objectives.
Customer Service Orientation - Providing excellent service to both internal and external clients is a significant aspect of working in a consulting firm, as you may have to interact directly with clients regarding their financial data.
