Greysteel is a leading commercial real estate investment sales and debt and structured finance services firm. Greysteel serves and advises private and institutional real estate investors and developers in the marketing, sale, and financing of middle-market and institutional real estate assets.
Work Hours: 40 hours per week. Monday - Friday
Position Overview:
The Transaction Coordinator at Greysteel plays a crucial role in managing and coordinating the proposal and transaction pipeline for real estate investment sales and financing. This position involves overseeing deadlines, milestones, and updates throughout the production cycle.
Primary Responsibilities:
- Oversee and coordinate the office's proposal and transaction pipeline for real estate investment sales and financing.
- Manage deadlines, milestones, and updates throughout the production cycle.
- Coordinate between the transaction team, firm departments, and third parties, including scheduling presentations, submission deadlines, due diligence, marketing announcements, property tours, and other key milestones.
- Collaborate with production personnel in other Greysteel offices to support transactions and corporate initiatives.
- Provide technical support to associates and clients, create and cross-check contractual agreements, maintain office inventory, update the company database/CRM, and research tools and services to enhance efficiency.
- Plan and schedule events and conferences.
- Manage the escrow process, coordinating between buyers, sellers, and lenders to ensure timely closings.
- Handle mortgage applications, verify documentation, and communicate with lenders and borrowers to complete the loan process.
- Organize and finalize the closing process, ensuring all documents are complete and accurate.
- Facilitate settlements, ensuring compliance with legal and financial requirements.
- Support loan officers by managing customer files and ensuring smooth progression through the loan approval process.
Education and Experience:
- Bachelor's or post-graduate degree in management, finance, or a related discipline preferred.
- Experience with commercial real estate transactions is a plus.

- Excellent time management, organizational skills, and attention to detail.
- Ability to work in a fast-paced, deadline-driven environment.
- Capability to work independently on multiple projects/tasks.
- Strong written and oral communication skills.
- Ability to take ownership of projects/tasks and work both individually and as part of a team.
- Proficiency in delegating, managing, and coordinating projects and tasks.
- Ability to identify and recommend improvements to existing policies/procedures.
- Proactive, assertive, and professional in dealing with internal/external clients, lenders, and third parties.
