General Function
The Sales Audit Systems Analyst is responsible for ensuring the integrity, accuracy, and reliability of financial data in sales audit processes. This role involves managing the daily loading of financial data from multiple sources into reconciliation systems, troubleshooting issues, and maintaining efficient data workflows. The analyst will work closely with internal teams to resolve reconciliation discrepancies and support automation efforts to enhance financial data processing. Basic accounting knowledge is highly beneficial for this role. Bilingual proficiency in English and Spanish is required.
Major Duties and Responsibilities
- Load, validate, and process financial data from various sources (POS, banks, third-party systems) into the reconciliation system (ReconNet) daily.
- Manually process files when automated systems fail, ensuring data integrity and completeness.
- Troubleshoot and resolve file conversion and data loading errors, identifying root causes and implementing solutions.
- Investigate missing or incomplete data, comparing large datasets to identify discrepancies and correct errors.
- Work alongside the Senior Financial Analyst to analyze and resolve reconciliation issues.
- Assist in reviewing reconciliation discrepancies, providing insights into financial variances, though this is not an accounting position.
- Generate reports for the Treasury team, explaining differences in funding, reconciliations, and other financial variances.
- Maintain a high level of attention to detail to minimize errors in financial data processing.
- Identify opportunities for automation in financial processes, improving efficiency in data extraction and processing.
- Understand and manage data flows between different financial systems.
- Organize and track large volumes of financial files processed on daily, weekly, and monthly cycles.
- Proactively communicate issues affecting team members or other departments, ensuring timely resolution.
- Demonstrate strong logical thinking and problem-solving skills in data management and reconciliation tasks.
- Utilize advanced Excel functions, including pivot tables and formulas, to analyze and manipulate large datasets.
- Ensure compliance with internal controls and department policies.
Communication with Others
- Internal: Collaborates with Operations, Asset Protection, IT teams, and other brand partners. Engages with store associates and field personnel regarding financial data processes.
- External: Communicates with banks, credit card processors, and other financial partners regarding reconciliation discrepancies and data transmission issues.
Knowledge and Skills
- Strong troubleshooting skills for file processing and data integrity issues.
- Ability to research, learn, and work with multiple financial systems.
- Strong analytical and problem-solving skills, with the ability to compare and analyze large datasets.
- High level of attention to detail to minimize errors in financial reporting and reconciliation.
- Excellent organizational skills to manage high volumes of financial files and transactions.
- Strong verbal and written communication skills to articulate issues and solutions effectively in both English and Spanish.
- Ability to work independently and escalate issues when necessary.
- Basic accounting knowledge is highly beneficial, though this is not an accounting position.
- Proficiency in Excel, including pivot tables, formulas, and data manipulation.
- Understanding of reconciliation processes and financial data workflows.
- Familiarity with automation concepts in reconciliation and data processing.
Preferred Qualifications
- Experience with SAP.
- Experience with ReconNet reconciliation software.
Nice to Have
- Knowledge of scripting languages (PowerShell, VBA, Python) for automating data processes.
- Familiarity with system administration, Windows Server environments, database management, and SQL.
- Experience with automation tools for financial processes, such as RPA (Robotic Process Automation) or ETL (Extract, Transform, Load) solutions.
- Experience with file transmissions, including SFTP for financial data transfers.
